Manage sensitive matters with a high level of confidentiality and discretion especially decisions directly impacting the global operations of the company.
Sustain a daily calendar of meetings and events for both the company and personal calendars of the VP of Sales and CEO.
Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects, and other documents in support of objectives for the organization.
Arrange travel and accommodations for VP of Sales and CEO.
Screen incoming telephone calls for the VP of Sales and CEO; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
Exhibit excellent communication and time management skills with proven ability to meet deadlines.
Ability to function well in a high-paced environment; performs additional duties as assigned by executives.
Draft and prepare correspondence for internal announcements and organizations that involves the VP of Sales, CEO, and executive leadership.
Manage the VP of Sales and CEO's contacts.
Assist in preparing and managing presentations.
Be responsive to emails/texts/phone calls, along with contacts occasionally outside normal business hours.
Welcome the VP of Sales and CEO's guests by greeting them, in person or on the phone, answering or directing inquiries.
Use discretion, confidentiality, and good judgment to handle C-Level leadership matters.
Represent the company, VP of Sales, and the CEO in a positive light through great follow-through skills and sound judgment.
Conserve the VP of Sales and CEO's time by reading, researching, collecting, and analyzing information as needed, in advance.
Complete ad hoc projects as assigned - such as personal events and/or family needs.
Organize complex calendars and schedules, resolving any scheduling issues.
Reviewing, organizing, and distributing/communicating mail in a timely manner.
Perform other duties as assigned.
Qualifications:
- HS Diploma and five to ten years of experience in the same or a similar role is required; or a bachelor's degree in any discipline but preferably in Communications.
- Proven experience as an executive assistant or similar role - Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) - Strong organizational skills with the ability to multitask and prioritize tasks - Excellent written and verbal communication skills - Attention to detail and accuracy in work - Ability to maintain confidentiality and exercise discretion - Knowledge of QuickBooks or other accounting software is a plus - Experience in event planning is a plus Skills:

5 to 10 years of experience supporting C-Level Executives, preferably at the CEO level.
Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint) and social media platforms.
